The Finnish Wind Band Association (Suomen Puhallinorkesteriliitto ry) maintains a membership register in accordance with data protection legislation.
Membership register:
- Under Section 11 of the Finnish Associations Act, an association is required to maintain a register of its members.
- The Finnish Wind Band Association uses its membership register to collect membership fees and to distribute the member magazine and other communications. Information contained in the membership register is not disclosed to third parties.
The Finnish Wind Band Association’s membership register contains the following information about member orchestras and organisational members:
- Name of the orchestra or association
- Name of the contact person and their role within the organisation
- Contact person’s email address, to which the Association’s communications and membership fee invoices may be sent
- Contact person’s postal address, to which the Association’s member magazine is sent
- Contact person’s telephone number
- An orchestra member may provide several contacts, such as the Chair, Secretary, Treasurer and Conductor. The member specifies which contact details should primarily be used for communications and membership fee invoicing.
- The member specifies whether the Finnish Wind Band Association may send other information related to wind music to the contact details of the orchestra member or organisational member.
The Finnish Wind Band Association’s membership register contains the following information about individual members:
- Name
- Email address, to which the Association’s communications and membership fee invoices may be sent
- Postal address, to which the Association’s member magazine is sent
- Telephone number
- The member specifies whether the Finnish Wind Band Association may send other information related to wind music to the individual member’s contact details.
Register administrators:
- The Finnish Wind Band Association’s membership register is maintained by the Association’s Treasurer and Executive Director.
- The membership register is stored in a password-protected cloud service. The password is known only to the Board of the Finnish Wind Band Association. The Association does not maintain the register manually in paper form.
Regular sources of information:
- Information in the membership register is obtained from the Association’s annual activity survey completed by its members. Members may also notify the Association of changes to their contact details during the year directly through the contact details of the Treasurer and Secretary.
Registers other than the membership register:
- The Finnish Wind Band Association also sends its member magazine to stakeholders whose postal addresses are maintained in a separate address register. Information in the address register is not disclosed to third parties.
- The address register is stored in a password-protected cloud service. The password is known only to the Board of the Finnish Wind Band Association. The Association does not maintain the magazine’s address register manually in paper form.
The register contains the following information:
- Name
- Postal address, to which the Association’s member magazine is sent
Regular disclosure of information:
- For the distribution of the member magazine, the Finnish Wind Band Association sends an updated mailing list based on the membership register and the stakeholder address register by email four times a year to the printing company responsible for mailing the member magazine. The mailing list is not disclosed to any other parties.
